How to process contracts faster? Opinion and approval in a nutshell
2022-05-29Questions and answers, or what is worth knowing about DocuSign®?
2022-07-03How often do you find yourself postponing the completion of planned tasks? The phenomenon of procrastination affects almost all of us. Occasional procrastination is not a major problem and does not disorganize your work. However, if procrastination happens to you alarmingly often, causes you to miss deadlines, and thus delays the finalization of corporate contracts, it is worth fighting against procrastination. How? There are ways to do it.
Why do we procrastinate? The most common reasons for procrastinating tasks over time
Procrastination is compulsive procrastination of activities over time. It’s a loop that not only leads to tremendous remorse, but also disorganizes work and extends its duration. Procrastinating scheduled tasks and occupying that time with something completely different, such as scrolling social media or cleaning your desk, often has its sources, which are not hard to find. What are the most common reasons for procrastinating tasks?
- Fear of failure. We procrastinate tasks often when we fear we will fail. That’s why dividing large, complicated tasks into smaller and simpler steps is one method to help fight procrastination.
- Fatigue, lack of sleep, low energy levels. Days filled to the brim with tasks, overtime at work and unhealthy lifestyles cause the body to say enough at some point. If you’ve fallen into the procrastination loop, try taking a few days off, relaxing (preferably in the fresh air) and getting a decent night’s sleep.
- Excessive responsibilities, unwillingness to perform time-consuming and tedious tasks. It turns out that we very often postpone tasks that, although they are not difficult and complicated, we know will take us a long time and are tedious and uninteresting. Procrastination is also very common in people who have too many responsibilities on their minds. The solution in this case is to automate work as much as possible and use systems that eliminate time-consuming, simple and tedious activities.
What tasks do we procrastinate on and how do we remedy this?
The operation of each company has slightly different characteristics, but in almost every company contracts are processed to a greater or lesser extent. Each stage of these processes requires the involvement of several people and, carried out without the support of appropriate tools, can be time-consuming and tedious. And when something is time-consuming and tedious we… well, that’s just it – we procrastinate! What tasks do we often not feel like doing right away?
Preparation of contracts
Preparing the content of documents, if we don’t have an up-to-date template, is time-consuming. What if we have a template, but there are 20 of these agreements, each with 20 pages that need to be scrolled through looking for places to complete for each individual client? In such a situation, it’s not hard to get discouraged and procrastinate preparing contracts, thus postponing their finalization, which could bring profit to the company.
The solution may be the intuitive Hatiroo® electronic document workflow system, thanks to which the right contract template will always be at hand, all customer data will be automatically downloaded from the CSO, and detailed transaction information will be pulled from a form created specifically for a particular type of contract.
Collecting signatures or signing documents
Collecting signatures from all board members and then sending a paper contract to a contractor is often a real chore. You have to print the documents in several copies, catch the people authorized to sign, who are rarely at the company’s headquarters. Each of them must not only sign, but also initial all the pages. Once the contract is signed it has to be sent with the help of a courier to the contractor, the contractor has to sign it… uff… and so on and so forth. Are you already tired at the very thought?
The solution may be a fine-tuned electronic signature platform that allows each person authorized to sign to submit it with clicks, and the whole process can be shortened by as much as 83%.
Placing documents in the archive
Difficulty finding a paper contract is a common occurrence. Often the culprit is a bad storage system, a mistake or an overlooked contract that should have been in a binder, but got lost in the clutter of papers on your desk, after you told yourself the next day that you would put the documents in order as early as tomorrow.
What if all contracts, once finalized, automatically fell into an electronic archive? Hatiroo® gives you that possibility! There’s order in the documents, they’re easy to find even after several years, and procrastinators have one less reason to procrastinate tasks.
Procrastinating tasks over time serves no one – neither the growth of the company, nor the well-being of the procrastinator, nor the sense of agency and confidence. However, a strong will is not always enough to get all tasks done on time. It is worth helping ourselves with tools that will do much of the work for us.
