Can we use Hatiroo® for other documents, not only for contracts with business partners?
Yes. In Hatiroo® you can handle any type of document, including, for example, powers of attorney, applications, purchase orders, as well as documents from other departments (e.g., HR – the e-File).
Does Hatiroo® support the entire process of agreements with business partners?
Yes. Hatiroo® supports the process from creating the contract (from your template or from the partner), through review, negotiations, approval, signing (paper or e-signature), all the way to archiving and annexes.
What if our process is different from the example shown in the video?
No problem. In Hatiroo® you can disable steps, change the order of stages, adjust approval matrices, create permission sets, and customize forms to your needs. The system adapts to your company — not the other way around.
Can Hatiroo® be integrated with our system?
Yes. Hatiroo® does not limit the ability to integrate with other systems. You can use the API or the database.
Additionally, Hatiroo® is already fully integrated with Microsoft Office 365 and SharePoint Online, Autenti®, DocuSign®, PWG, GUS API, KRS API, NBP API, and the White List of VAT Payers API.
What are the costs of implementing the contract management system?
Hatiroo® operates on a monthly subscription model, the cost of which depends on the number of processes — that is, the number of document types handled in the system. There is no user limit, and the agreement can be terminated at any time with a one-month notice period.

The price list does not include optional licenses for external systems integrated with Hatiroo® (e.g., Autenti®, DocuSign®, Microsoft Office 365).
Is Hatiroo® secure?
Yes. Documents are stored on your company’s servers, and access is controlled by permissions managed by your IT department or designated personnel.
Access to the system requires logging in using a corporate account (just like your company email). Documents are stored on your company’s servers, and every change is recorded. Access to specific types of documents can be restricted to selected departments, roles, or even individual users.
How long does it take to implement Hatiroo®?
Once everything on your side is ready (e.g., required decisions and access for us), implementing the Hatiroo® document management system takes approximately one week.
The standard implementation consists of the following stages: system installation on your server or cloud, integration with your systems, and user training.
If the implementation was preceded by a Trial Workshop, the rollout will be significantly faster and will include transferring the processes developed during the workshop into your environment.

Do we need to change our contract templates?
No. You can continue using your existing templates — simply import them into Hatiroo®. Optionally, you can add data fields that the system will fill in automatically, which speeds up contract creation.
We can also work together to refresh your contract templates — such an option is available.
Does the partner need a Hatiroo® account to sign a contract electronically?
No. Signing a contract does not require the partner to create an account in Hatiroo®.
With an active integration with Autenti® or DocuSign®, the partner receives an email with a link and signs the document in a web browser — without any installation or registration.
Can I sign a contract traditionally if the partner refuses to use an electronic signature?
Yes. Hatiroo® supports both options. Within the same process, you can have different signing paths. Depending on the situation, the document may be signed electronically or on paper. The system supports both scenarios simultaneously.
If the document is signed on paper, the scan is added to the Hatiroo® archive.
The process remains the same — only the signing step looks different.
How do I electronically sign a contract with a business partner?
The simplest way is through an electronic signature platform. In Hatiroo® this is built-in: you select the document, indicate the signers, and choose the signature type (standard, advanced, or qualified).
Autenti® or DocuSign® handles the rest, and signatures can be made from a phone, tablet, or computer. The final signed contract is automatically archived in Hatiroo®.
Why do we need Hatiroo® if we already use Autenti® or DocuSign®?
Autenti® and DocuSign® primarily support the signature step. Other functions are limited or unavailable.
Hatiroo® is a complete document management system. It covers all stages of working with business contracts: preparation, review, approval, signing, and archiving.
If you already use Autenti® or DocuSign®, adding Hatiroo® is valuable because it automates all remaining stages (preparation, review, negotiations, approvals) and streamlines the entire contract process.
Additionally, in Hatiroo® copies of signed documents are always automatically archived on your servers — and remain available even if cooperation with external signature providers ends.
Where should we store contracts in the company to avoid losing them?
A central e-archive in Hatiroo® is a secure place for storing all contracts.
Documents are protected, only authorized users have access, and the search engine allows you to find the needed files in seconds.
In Hatiroo®, all documents — both signed and draft versions — are stored in one place. You can search by title, date, or even a fragment of text. The system also finds documents related to the main document.
How do we avoid multiple versions of the same contract?
You need to work on a single file in a system that tracks version history and supports simultaneous editing.
In Hatiroo®, everyone sees the current version of the document, change tracking is enabled automatically, and the system records the full edit history.
There is no emailing of files and no risk that someone will edit an outdated version. There is also no need for manually merging changes made by multiple people.
